These are some suggestions to help promote your Art21 Access ’09 screening event in your community. Before you begin, make sure to schedule and confirm your event with Art21.
Prepare a post-screening activity based on the Art:21 Season 5 episode your organization will be screening. Post-screening activities may include, but are not limited to:
- Talks by local, regional and national artists
- In-class lectures
- Panel discussions
- Interactive art-making projects
- Question-and-answer sessions
Make sure to arrange and confirm all logistics with Art21 and any organizations you will partner with for this Access ’09 screening:
- Set deadlines to confirm the details of your events
- Confirm any participants whom you hope to involve in the event 4 weeks prior to the event
It is important to promote your Access ’09 event to local media. Start by completing the Art21 Access ’09 customizable press release and then send it via email to your local and regional media four – six weeks in advance of your event. Try to secure advanced listings of the screening event. Art21 can provide you with press images from the episode you will be screening to be used as part of your press release. Be sure to include the proper photo credits.
Your local and regional media contact list should include:
- Daily newspaper(s)
- Community newspaper(s)
- Local talk radio
- Local magazines that typically list things to do in town (i.e. Time Out Chicago)
- Local TV news
- Local websites and bloggers
Additionally promote your Art21 Access ‘09 screening event to your networks and constituents:
- Email an event announcement to listservs and various constituents or mail a postcard or flyer to your organizational contact list.
- Promote the event to your core audience – post a flyer for your staff, regular visitors, students and patrons.
- Embed Season 5 Episode Teasers and/or Art21 Access ‘09 digital badges on your web site.
- Post flyers and posters announcing the event at key locations around town (i.e. coffee houses, arts organizations, museums, art supply stores, etc.)
- Use platforms like Twitter or Facebook to reach out to followers and fans by posting your event information.
Art21 requests all venues document their events. We recommend taking pictures and posting them to the Art21 Access ‘09 Flickr group or to the Art21 Facebook page. Venues can also document the audiences responses to the Art21 episode and the post-screening program whether it is a an artist talk, panel discussion or Q&A session using Twitter to record the most interesting ideas.
